Höegh Autoliners Privacy Policy

Höegh Autoliners (“HA”) processes your personal data when you visit our websites, use our services, apply for a position or interact with us in other ways. This is necessary in order for us to provide our services, evaluate your application and fulfil our contractual obligations with you. If you give your consent, we will also be able to process your personal data for other purposes.

HA is committed to international compliance with data protection laws, including, but not limited to the General Data Protection Regulation (“GDPR”). Your data privacy is important to us and we therefore want to make sure that you are confident that your personal data is processed securely within, but also outside the European Economic Area (“EEA”).

1. What is personal data?

Personal data is any information and assessment that may be linked to a natural person directly or indirectly, such as your name, e-mail address, IP address and mobile phone number.

2. Who is the data controller?

3. What categories of personal data do we process?

HA processes personal data to fulfil the contractual and legal obligations we have towards you as our customer and user of our services, or in order to take necessary steps when requested by you prior to entering into a contract. Furthermore, we process personal data when necessary for the purposes of HA's or third party's legitimate interests.

HA mainly collects personal data in three different ways, described in more detail below: (1) on request, (2) from public sources, (3) from third party providers.

It is optional for you to give us your personal data. However, sometimes we need your personal data to be able to provide our services, fulfil our contractual obligations, or contact you etc.

(1) Information you provide us with.

When you register as a user of our services or apply for a position, you provide us with personal data, e.g. personal name, company name, country of residence, phone number, e-mail address, education etc. We store this information to be able to provide you with the services that you have booked, to improve our services, and to process and evaluate your application. We also store your personal data when you contact us for instance when sending an e-mail to our customer support or to the HR department.

(2) Information we collect when you use our services.

When using our services we register e.g. contact details, personal name, role, title, division, phone number, e-mail address, which services you use and how you use them. This enables us to improve our services, prevent fraud and adapt the services to your best needs.

(3) Information from other sources.

We receive information, e.g anonymous cookie data, from other sources to better understand how you use our services, and your preferences and to improve the services we provide

Our website uses the technologies of Dealfront (Liidio Oy as part of Dealfront Group GmbH) (“Dealfront”) to analyze visitor behavior.

In this process, the IP address of a visitor is processed. This processing has the purpose of helping us understand which businesses (B2B) are visiting our site, by enriching IPs with associated information such as the company name or industry code. To do this, at the beginning of the visitor’s session, their IP address and corresponding session data is matched against a large whitelist of known companies. As part of this processing, first party cookies are used in order to analyze visitor behavior. Whenever we process website traffic data, this is based on our legitimate interest (Art. 6 (1) lit. f GDPR) in optimizing our products, services, sales and marketing. To prevent this processing activity, you (website visitor) may install and configure appropriate ad-blockers or use no-script-plugins in your browser. The data will be deleted as soon as it is no longer required for its intended purposes. Statutory retention obligations can lead to a longer retention period for the data in question.
We have concluded a data processing agreement with Dealfront in order to ensure compliance with applicable data protection standards.

4. What do we use your personal data for?

HA uses the data we collect for three basic purposes, described in more detail below: (1) to operate our business and provide (including improving and personalising) the products we offer, (2) to send communications, including promotional communications, and (3) to show advertising.

(1) Providing our services. We use data to provide our services to all our worldwide customers, to improve our services and to perform other essential business operations. This includes conducting research and providing customer support. Examples of such uses include the following:

  • Providing the Services. We use data to carry out transactions with us and to provide our products and service.
  • Customer support. We use data to handle orders and complaints and provide other customer support services.
  • Business Operations. We use data to develop aggregate analysis and business intelligence that enable us to operate, protect, make informed decisions and report on the performance of our business.

5. Who do we share your personal data with?

We also share personal data among HA-controlled affiliates and subsidiaries. In addition, we share personal data with vendors or agents working on our behalf in order for us to provide our services. For example, companies we've hired to provide customer service support or assist in protecting and securing our systems and services may need access to personal data to provide those functions. We may also disclose personal data as part of a corporate transaction such as a merger or sale of assets or to public authorities when legally obliged to do so.

We have entered into Data Processor Agreements with all relevant third parties to ensure that any third-party processing is lawful.

6. Transfer of personal data

HA is an international business that shares personal data with other companies in the group (including branches, subsidiaries or affiliated companies), as well as with external processors inside and outside the EEA. This is only done when it is necessary to fulfil the purposes stated above.

Transfer of personal data to internal and external processors in the US will only take place as long as the processor complies with the EU-U.S. Privacy Shield Framework. For other processors located in the U.S. or other processors located outside the EEA, the transfer will only take place when appropriate safeguards are provided by using EU standard model clauses approved by the European Commission. Both the EU-U.S. Privacy Shield Framework and the EU standard model clauses ensure that personal data are transferred by the strict privacy requirements in the EEA.

7. How do we keep your personal data safe?

We have implemented appropriate technical and organisational measures in order to ensure a level of security appropriate to the risk. This ensures the integrity of your personal data and that it is kept confidential and available. The HA IT department regularly assesses the level of security.

The personal data that we process will be stored on servers that are located within the EEA or on servers in the US if the provider complies with the EU-U.S. Privacy Shield Framework or on the basis of other appropriate safeguards.

Personal data will also be stored on servers in other countries outside the EEA based on appropriate safeguards, including EU model clauses.

8. How long do we keep your personal data?

We do not store your personal data for a longer period than what is necessary to be able to provide our services and fulfil our contractual obligations, or in other ways fulfil the purposes of the processing.

9. What are your rights?

Your personal data shall be accurate and kept up to date. HA will take utmost care to make sure your data is correct. You are entitled to request HA to provide information on what data is stored about you. You may also request that your personal data shall be deleted or corrected.

From 25 May 2018, you may also have the right to ask for data portability of your personal data.

This means that you will have the right to receive the personal data that you have provided to us in a structured, commonly used and machine-readable format.

Furthermore, you will have the right to oppose the processing of your personal data, person profiling and automated decisions.

Cease of processing and deletion can be denied if the processing is necessary to fulfil our contractual obligations or to comply with legal obligations and/or for the establishment, exercise or defence of legal claims.
